TERMS AND CONDITIONS

1. INTRODUCTION

1.1 Welcome to the #FOEN25 Conference Registration platform. If you continue to browse and use this website you are agreeing to comply with and be bound by the following terms and conditions of use, which work together with our privacy policy govern Western Academy of Beijing (WAB) and its relationship with you in regards to this website.

1.2 The term Western Academy of Beijing, WAB or “us” or “we” refers to the owner of the website whose registered office is 10 Lai Guang Ying Dong Lu, Chao Yang District, Beijing 100102, China. The term “you” refers to the user or viewer of our website.

1.3 The content of the pages of this website is for your general information and use only. It is subject to change without notice.

2. BOOKING

2.1 All applications to register for the conference are subject to availability and to you making full payment.

2.2 Confirmation (or rejection) of your booking will be sent to you by email upon receipt of your booking request. Please email us at foen@wab.edu if you have not received a confirmation.

2.3 Delegate passes issued for use at the conference are valid for the named attendee only and, subject to clause 4.2 below, cannot be transferred. You may be asked for photographic ID during the conference. If you are unable to provide identification which matches your delegate pass you may be asked to leave the conference.

2.4 Educators who are bringing students with them to FOEN2025 should ensure that they have consent for their participation at the time of registration. It is your responsibility to supervise students during the event and ensure that the group adheres to WAB’s safety guidelines and instructions while they are on the WAB campus.

3. PRICES AND PAYMENT

3.1 We will only accept payment by credit card, unless we expressly agree otherwise in writing. If for any reason we have not received payment in full by the date of the conference you (or the attending delegate) will be asked as a condition of being allowed to attend the conference to provide payment by credit card on the day of the conference. We reserve the right to cancel your booking at any time if payment is not made.

3.2 You acknowledge and accept that if payment is not received in full by the date of the conference, we reserve the right to cancel your booking and turn down entry to the conference event.

3.3 Once payment has been received via credit card, an email confirmation and a receipt will be sent. If payment is not made at the time of booking, registration will be provisional. Registration and attendance is not confirmed until WAB receives payment.

4. CHANGES TO THE CONFERENCE

4.1 WAB reserves the right to make alterations to the conference programme, venue and timings.

4.2 It may be necessary for reasons beyond our reasonable control to alter the advertised content, timing and/or location of the conference or the advertised speakers. We reserve the right to do this at any time.

4.3 If you are unable to attend the conference, you may contact WAB and provide the name, job title and email address of your proposed substitute provided this is at least two (2) weeks prior to the start of the conference and payment has been received in full.

5. CANCELLATION POLICY

5.1 All cancellation requests must be submitted in writing to: foen@wab.edu

5.2 If you are unable to transfer your registration, the following cancellation policy applies:

– Full refund up to six weeks prior to the event start date

– 50% refund between six weeks and two weeks prior to the event start date

– No Refunds within two weeks before the start date, however these refunds are subject to WAB’s discretion on a case by case basis (less any handling fees).

5.3 We shall not be liable to you for travel, visa, accommodation or other costs and expenses incurred (included wasted costs and expenses) if we are required to cancel or relocate the conference as a result of an event outside our control (including, without limitation, to acts of God, floods, lightning, storm, fire, explosion, war, military operations, acts of terrorism or threats of any such acts, any strike action, lock-outs or other industrial action and a pandemic, epidemic or other widespread illness).

5.4 WAB is a non-profit organisation. If it should become necessary for WAB to cancel or reschedule FOEN2025 due to circumstances beyond our control, we will aim to refund a significant percentage of the registration fees. Should unexpected low numbers of participants result in a cancellation we will give a full refund of the registration fees. In either case we will be unable to refund any travel, visa or accommodation expenses.

6. CONTENT

6.1 To the extent that any Content is made available by us online we reserve the right to suspend or remove access to such Content at any time.

6.2 For promotional purposes, there will be professional photographers and video production teams at the conference. Delegates who do not wish to be filmed or recorded should advise the organisers by email to foen@wab.edu prior to the event.

6.3 All trademarks reproduced in this website, which are not the property of, or licensed to the operator, are acknowledged on the website.

6.4 You may not create a link to this website from another website or document without WAB’s prior written consent.

6.5 This website contains material which is owned by or licensed to us. This material includes, but is not limited to, the design, layout, look, appearance and graphics. Reproduction is prohibited other than in accordance with the copyright notice, which forms part of these terms and conditions.

7. GENERAL

7.1 Neither we nor any third parties provide any warranty or guarantee as to the accuracy, timeliness, performance, completeness or suitability of the information and materials found or offered on this website for any particular purpose. You acknowledge that such information and materials may contain inaccuracies or errors and we expressly exclude liability for any such inaccuracies or errors to the fullest extent permitted by law.

7.2 Your use of any information or materials on this website is entirely at your own risk, for which we shall not be liable. It shall be your own responsibility to ensure that any products, services or information available through this website meet your specific requirements.

7.3 Unauthorised use of this website may give to a claim for damages and/or be a criminal offence.

7.4 From time to time this website may also include links to other websites. These links are provided for your convenience to provide further information. They do not signify that we endorse the website(s). We have no responsibility for the content of the linked website(s).

7.5 Delegates should advise of any special access requirements at the time of registration.

8. PRIVACY/USER DATA POLICY

8.1 The data we collect as part of the registration process is primarily used to place participants into extended sessions and cohorts and for communication purposes. We share your data with our committee, conference leaders and presenters. We may use the data to inform participants of future events and for demographic analysis.
